Add team members as admins, teachers, moderators, or staff and manage their roles within your organization
How to Invite Users
Growing your team on Course37 is simple. You can invite admins, teachers, moderators, and staff — each with their own level of access and permissions.
Understanding Roles
Before inviting users, understand the role hierarchy:
| Role | Access Level | Typical Use |
|---|---|---|
| Admin | Full access to everything | Organization owners, managers |
| Teacher | Courses, exams, students (assigned only) | Instructors, professors |
| Moderator | Students, attendance, content management | Support staff, coordinators |
| Staff | Read-only with limited actions | Office staff, assistants |
Key difference: Admins see all data across the organization. Teachers only see courses they are assigned to. Moderators can manage students and content but can't change settings. Staff have minimal access.
How to Invite a Team Member
- Go to Settings → Team Members in the sidebar
- Click the Invite Member button in the top-right corner
- Fill in the invitation form:
- Email Address — The person's email (they'll receive an invitation here)
- Role — Select Admin, Teacher, Moderator, or Staff
- Click Send Invitation

What Happens After Inviting
- The invited person receives an email with an invitation link
- If they already have a Course37 account, they click the link and are added to your organization
- If they don't have an account, they'll be prompted to sign up first, then automatically join your organization
- After joining, they appear in your Team Members list with their role
Note: Invitations expire after 7 days. If the link expires, you can resend the invitation from the Team Members page.
Managing Existing Members
From Settings → Team Members, you can:
- Change Role — Click the role dropdown next to any member to change their role
- Set Permissions — Click the gear icon to configure module-level permissions
- Remove Member — Click the remove button to revoke their access
- Resend Invitation — For pending invitations that haven't been accepted
Inviting Multiple People
Currently, invitations are sent one at a time. For bulk invitations:
- Prepare a list of email addresses
- Send each invitation individually
- Track acceptance status in the Team Members list

Best Practices
- Start with minimal access — Assign the lowest role needed, and upgrade later if necessary
- Use the Teacher role for instructors — They'll only see their assigned courses, keeping things focused
- Configure module permissions after inviting — Fine-tune access with granular permissions
- Regularly audit your team list — Remove members who no longer need access
Frequently Asked Questions
Can a person be in multiple organizations? Yes. One Course37 account can be a member of multiple organizations with different roles.
Can I change someone's role after inviting them? Yes. Go to Settings → Team Members and click the role dropdown to change it.
What happens if I remove a team member? They lose access to your organization immediately. Their personal Course37 account is not affected.
